Privacy policy
Version 2026-11-08.
Who we are
Road Empire Transport Inc., 14 Maple Cider Street, Caledon, Ontario, L7C 4B4, Canada, operates this website. Privacy questions can be sent through the contact form or to info@roadempire.site.
What we collect
From people who contact the office: name, email, optional phone number, topic, and message.
From driver applicants: full name, email, phone number, driving licence class, resume, the submission time, and the privacy policy version.
The current application also requires two separate photographs: the front of the driving licence and the back of the driving licence. These are government identification documents. The company collects both sides because the hiring process reviews the licence with the application. That requirement can be turned off in admin settings if the company later decides to collect the photographs at another stage.
The site also stores technical records needed to run it: session records for administrators, rate-limit counters, and audit logs of administrative actions. Audit logs for a deleted application keep the action and the application number. They are not a copy of the licence photographs.
Why we collect it
Contact details are used to answer the message. Applicant information is used to consider the person for a driving position, to contact them about next steps, and to confirm that a required licence class was provided. Licence photographs, when collected, are used only for that recruitment review.
Who can access it
Applicant documents are stored in private storage. They are not placed on a public web address. Only signed-in administrators with a recruitment role can open them, and each download is written to an audit log. Email notifications about a new application name the applicant and link to the dashboard. They do not attach the resume or the licence photographs.
How long it is kept
Recruitment records are kept for 24 months after a hiring decision, or sooner when the record is no longer needed. An authorized administrator can delete an application. Deletion removes the database record and the stored resume and licence files.
Access and deletion requests
An applicant can ask to see the personal information the company holds, ask for a correction, or ask for deletion, subject to any retention period the company must follow. Use the contact form and choose Privacy, or email info@roadempire.site. The company may need to confirm that the request comes from the applicant.
Consent
Submitting the application stores the submission time and the privacy policy version with the record. Information collected for recruitment is not used for any other purpose.
Security
The production site should be served only over HTTPS. Administrator passwords are hashed. Administrative access can be protected with two-factor authentication. Uploads are checked for type and size. Optional malware scanning runs when a ClamAV service is configured. No security measure makes a website incapable of being attacked. Access should stay limited to people who need it for hiring.
